The recap format: DART (Decisions, Actions, Risks, Timeline)
Use a consistent structure so clients learn where to look.
- Decisions: what we agreed, in one sentence each
- Actions: who owns what, with due dates
- Risks: blockers or open questions
- Timeline: key dates and next meeting plan
What to include (and what to avoid)
A good recap is specific and scannable. Include:
- The meeting purpose (one line)
- 2–6 decisions (bullets)
- 3–10 actions with owners + dates
- Links to artifacts (deck, doc, ticket, CRM record)
- The date/time of the next meeting (or how to schedule it)
Avoid:
- Full transcripts
- Paragraphs with multiple commitments inside
- “We should” phrasing without an owner

Before you send, check one thing: can a reader answer “who does what next, by when” in 15 seconds?
